Praxisforum 2026: Can AI Replace Structured Processes in Facility Management?

Can artificial intelligence replace structured processes in Facility Management, or does its effective use depend on clearly defined workflows? This question was among the topics discussed at the Praxisforum Betreiberverantwortung 2026, organized by i2fm in Oberhausen on 14 October. Experts and industry representatives exchanged perspectives on current challenges in Facility Management, including data management, IT security, standardized processes and the use of artificial intelligence.

One of the ideas discussed was the development of a common standard process for routine Facility Management operations. Such a standard could provide a foundation for implementing workflows in CAFM systems. The proposal received broad support from participants, highlighting the industry’s interest in more consistent approaches to operational processes.

Better Processes: For People or Machines?

Dr. Alexandra Merkel, CTO of speedikon FM AG, joined two other experts in the discussion “Better Processes: For People or Machines?” The session explored how organizational measures, CAFM systems and artificial intelligence can support day-to-day operations.

Practical examples illustrated how AI could provide support, from making it easier to create helpdesk tickets using natural language to analyzing large volumes of maintenance reports to identify reported defects and potential follow-up actions.

However, AI cannot simply replace established processes. Responsibility for processes and their outcomes must remain with people. The discussion also raised a broader question: If more decisions are delegated to AI, how can employees continue to gain practical experience and develop the judgment needed to make informed decisions themselves?

The discussions highlighted that the goal is not to replace existing workflows with AI wherever possible, but to establish clear processes and use new technologies where they can provide meaningful support. The positive response to the proposed standard process for routine FM operations also showed the importance of this topic for the industry.
